Get the AI Prompt Template
A copy-paste prompt template for getting accurate answers from AI on messy Excel data. Guardrails, checks, and reconciliation steps included.
- Give AI clear rules before asking for analysis. Vague prompts get vague, unreliable answers.
- Make it inspect your data first. Catch missing values, duplicates, and mismatched codes before analysis starts.
- Verify the basics yourself. If AI can’t get a simple row count right, don’t trust it with complex calculations.
- Ask for the method, not just the number. This catches wrong assumptions before they become wrong reports.
- Reconcile every summary back to the raw data. If it doesn’t tie out, don’t use it yet.
Most people open a chat window, drop in a spreadsheet, and type “analyze this.” Then they take whatever comes back at face value.
That’s the problem. AI models are good at sounding confident.

They are not automatically good at being right, especially when your data lives across multiple sheets and needs joins, lookups, and calculations that don’t exist yet in the file.
I ran a real test on a messy sales workbook to see where it would break. It held up better than I expected. Here’s the process that got it there.
Set Guardrails Before You Ask for Insights
Before any analysis, I give the AI a short list of rules. This one change fixes most of the bad answers people get.
My starting rules usually include:
- Answer in chat only. Don’t create or export files unless I ask.
- Use the reference sheets to decode any codes or IDs.
- Briefly explain your method before each analysis.
- Reconcile any grouped totals back to the raw data.
- If the file can’t answer something, say so instead of guessing.
Make It Inspect the Data First
Don’t jump straight to business questions. Ask the AI to look at the file first and tell you what it’s working with. A good first prompt asks it to:
- List the sheets and how they connect to each other
- Flag missing values, duplicate records, or mismatched codes
- Point out anything unusual before analysis starts
- Check hidden sheets too, not just the visible ones
This step alone catches a lot of issues before they turn into wrong answers later.
If you’ve ever built a PivotTable from multiple sheets manually, you already know how much can go wrong in that join. AI has to get the same relationships right, just without you watching it happen
Run a Few Checks You Can Verify Yourself
Before trusting it with anything complex, ask for two or three numbers you can check in Excel in under a minute. Row counts, date ranges, or a simple total are enough.
If the AI can’t get the basics right, it has no business handling the harder questions. This is the fastest trust check you can run, and it takes thirty seconds.
Ask for the Method, Not Just the Answer
Whenever a calculation involves multiple steps, like pulling a cost from one sheet and multiplying it by a quantity in another, ask the AI to show the formula or logic it used, not just the final number.
This does two things. It lets you catch a wrong assumption before it becomes a wrong report. And it teaches you something about your own data along the way.
Reconcile Back to the Source
Any time the AI groups or summarizes your data, ask it to reconcile the totals back to the transaction-level data. If the numbers don’t tie out, you’ll know before you present anything, not after.
What AI Should Never Guess
Test it with a question the file genuinely cannot answer. If your data doesn’t have a certain field, a trustworthy answer is “this isn’t in the file,” not an invented number that sounds plausible.
If it invents an answer instead of telling you the data doesn’t support it, that’s your signal to double-check everything else it gave you too.
This isn’t unique to AI either. I’ve seen the same silent-failure pattern in Power Query, where Remove Duplicates can quietly keep the wrong record on large datasets and never warn you. Confident output and correct output are not the same thing.
A Quick Note on Data Privacy
Before you upload anything, check what you’re sharing. Don’t upload sensitive company data unless it’s anonymized first, and follow your company’s AI usage policy.
If it’s not something you’d hand to an outsider, don’t hand it to an AI tool either.

Only if the data isn’t sensitive, or you’ve anonymized it first. Check your company’s AI usage policy before uploading anything you wouldn’t hand to an outsider.
